Shipment-level cost file
Match supplier invoices, freight, handling and other documented costs to the shipment. Separate recoverable taxes where finance confirms that treatment.
Operations, finance and data consulting
For an importer supplying branches, purchase price alone does not explain the value of stock or the margin on a sale. A review should connect shipment costs, quantities received, branch transfers and the demand behind each reorder.
The Ghana Shippers’ Authority’s 2023 trade review records cargo through both Tema and Takoradi. This establishes two port settings, not identical routes or costs for all goods. The example below uses an importer distributing a mixed shipment from Tema to branches; actual charges, exchange rates and timing must come from its own documents.
A practical inventory scenario
Illustrative workflow, not a client case study. The issues below are possibilities to investigate, not claims about every business in this country.
Imagine a distributor importing bulky, low-value items alongside compact, higher-value goods through Tema. A uniform freight percentage can obscure product margins, while branch transfer quantities can exaggerate demand. Neither problem is solved by counting the warehouse alone.
Confirm cartons, packs and sales units for each product. Reconcile accepted receipts before allocating costs.
Compare the existing method with a documented alternative for one shipment. Finance approves the policy and treatment of taxes; the comparison is not a tax determination.
Review actual customer sales, branch stock and confirmed incoming quantities together. Record whether a transfer or supplier order addresses the gap.
Match supplier invoices, freight, handling and other documented costs to the shipment. Separate recoverable taxes where finance confirms that treatment.
Choose a documented allocation basis appropriate to each cost, such as weight or value. Preserve invoice currency and the finance-approved conversion basis; do not substitute today’s rate.
Use customer sales and available stock by branch, excluding transfers from demand. Investigate stock-outs alongside surplus elsewhere before purchasing more.
Reconcile provisional to final costs and trace their effect on stock and sales. Show open invoices and approved cost changes in Excel or Power BI.
Typical starting points for each practice in this operating context. Engagements are scoped to your priorities; you do not need all seven.
Connect shipment, clearing and inland delivery steps so branch replenishment reflects realistic arrival dates.
Set branch-level replenishment rules and resolve unit-of-measure conversions between purchasing and selling units.
Allocate landed costs at shipment level and reconcile margins between operational and financial reports.
Define how branches request, receive and confirm stock, with fewer manual follow-ups.
Build branch availability and margin dashboards in Power BI or Tableau from ERP and sales data.
Turn landed-cost and conversion spreadsheets into structured, checked templates or automated data preparation.
Automate replenishment requests and approval routing where volumes justify it; AI is optional, not a starting point.
