Criticality before consumption
Link parts to equipment and failure consequences. Distinguish routine consumables from low-use items whose absence would prevent operation; engineering validates substitutions.
Operations, finance and data consulting
A maintenance store needs more than a list of fast-moving items. The useful questions are which equipment a part supports, what happens if it is unavailable, whether it can be repaired and how long replacement actually takes.
The World Bank identifies copper and cobalt among the DRC’s mineral resources. This supports a mining-supply context, not a claim that all operations use the same transport corridor or face the same conditions. The example considers a maintenance store supporting equipment at a site; access, security and resupply routes require a current, site-specific assessment.
A practical inventory scenario
Illustrative workflow, not a client case study. The issues below are possibilities to investigate, not claims about every business in this country.
Imagine a site where a replacement assembly has little recorded consumption but supports an essential machine. One unit is under repair and another appears in the system despite being issued. A reorder based only on average usage can miss both the operational dependency and the true stock position.
Ask maintenance to confirm equipment compatibility, approved alternatives and the consequence of a missing part. Do not infer technical suitability from a similar description.
Count usable units, reconcile issues and identify repair status. Track site and in-transit quantities separately.
Compare a documented supplier receipt date, repair return and approved transfer. Record the coverage decision and its owner rather than promising uninterrupted operation.
Link parts to equipment and failure consequences. Distinguish routine consumables from low-use items whose absence would prevent operation; engineering validates substitutions.
Record part, quantity, equipment, requester and approval when stock leaves the store. Reconcile temporary manual records when the system becomes available.
Separate serviceable, failed, under-repair and scrapped units. Track serial numbers and repair orders where relevant so a failed unit is not counted as available.
Use actual order-to-receipt history, outstanding orders and repair return dates to review coverage. Confirm viable routes rather than assuming a standard national lead time.
Typical starting points for each practice in this operating context. Engagements are scoped to your priorities; you do not need all seven.
Plan resupply to remote sites around realistic lead times and agreed safety levels for critical items.
Classify equipment-critical spares, track repairable parts and tie site issues to work orders.
Align spare-parts valuation, repairable stock and consumption costs with the financial records.
Clarify issue, return and repair routines between stores, maintenance and site management.
Report on critical-item availability, consumption and open resupply in Power BI, Tableau or SQL-based views.
Structure issue logs and resupply trackers so they reconcile reliably with ERP records.
Automate low-stock alerts and resupply requests where connectivity and systems allow, with human approval.
